Emory Report Guidelines

I. MISSION

Emory Report is the official University-wide electronic newsletter for all faculty and staff. Featuring an engaging mix of University-related news and information, events, benefits information, cultural and professional enrichment opportunities, administrative and business information, and athletic events, Emory Report's primary mission is to keep the University's large and diverse group of employees well informed about their workplace, to instill a sense of pride in the achievements of our institution, and to be the primary source of official information pertaining to the workplace environment at the University.

II. BACKGROUND

Emory Report is distributed to all current employees of Emory University via the employee listserv. The Division of Communications and Public Affairs publishes Emory Report every Tuesday and Thursday (except for holidays) during the fall and spring semesters, and once a week (Tuesday) during the summer.

Emory Report is distributed in HTML format directly to faculty and staff email in-boxes. A link to the corresponding website is included if there are any display problems in viewing the emailed document. All Emory University employees, defined as anyone who receives a paycheck from the University, are included in the listserv to receive Emory Report.

Employees may not choose to opt out of this communication. Other members of the community who wish to subscribe to Emory Report may do so here.

III. EMORY REPORT EXTRA

In the case of significant breaking news that occurs between the standard Emory Report publishing dates, an Emory Report Extra may be distributed. The Senior Vice President for Communications and Public Affairs (or his or her designee) will make decisions on Emory Report Extras, in consultation with the president or provost, as necessary.

IV. POLICIES

A. Submitting story ideas to Emory Report

University faculty, staff and administrators may submit story ideas for consideration to the Emory Report editorial staff by emailing editor Laura Douglas-Brown at l.douglasbrown@emory.edu. Only events and news related to or sponsored by a department of the University will be considered for inclusion in Emory Report.

In general, story ideas that are related to events, deadlines or other time-sensitive issues should be submitted no less than two weeks in advance of the date.

B. Submitting calendar items to Emory Report

"Featured Events" in Emory Report are selected and curated primarily from the online Emory Events Calendar. You should submit your event to the Emory Events Calendar here. The Emory Events Calendar appears on many University websites, so your event will be seen by multiple audiences. The calendar welcomes submissions from faculty, staff and students.

After submitting your information to the Emory Events Calendar, you may also contact Emory Report editorial staff by emailing editor Laura Douglas-Brown at l.douglasbrown@emory.edu to suggest coverage of your event in Emory Report. Due to space constraints and other considerations, not all events submitted to the Emory Events Calendar can be included in Emory Report; however, each edition of Emory Report will include a link to the full calendar. When considering whether to submit your calendar item to Emory Report, consider how widely your event will appeal to the University community, especially faculty and staff.

The Division of Communications and Public Affairs reserves the right to accept or decline publishing of any event in Emory Report.

C. Commercial Services

Only internal commercial services (companies with Emory University contracts), such as the Emory University Bookstore, Emory Alliance Credit Union, Emory Conference Center, etc., will be considered in terms of offering/promoting special rates or discount offers to University employees.

External companies or organizations wishing to promote discounted prices/rates through Emory Report will not be included.

Emory Report does not accept paid advertising.

D. Obituaries

Emory Report will consider publishing obituaries for current Emory faculty, staff

and students if there will be an on-campus memorial service open to the entire university community. Other obituaries, including those of alumni or former university employees, will be restricted to those who have made a significant contribution to the University, as determined by the Senior Vice President for Communications and Public Affairs.

E. Opt Out of Receiving Emory Report

Employees may not opt out of receiving Emory Report. Each issue contains essential news and information for faculty and staff, including benefits, events, announcements about campus construction and disruptions, and other important news and information. Additionally, there are times when information for faculty and staff members needs to be communicated urgently, such as major leadership announcements or changes to employee benefits that take effect immediately.

F. Personnel Items / Honors and Awards

Emory Report publishes a monthly column called "Acclaim" to highlight faculty and staff honors. Listings may include awards and prizes; election to boards and societies; and similarly notable accomplishments in the wider community. To submit an item for the "Acclaim" column, contact assistant editor Leslie King at ltking@emory.edu.

G. Requests for Human Research Subjects

Emory Report will not publish requests for human research subjects from any university school, college or department.

H. Editorial Considerations

The final decision for any item to be included rests solely with Communications and Public Affairs. Any appeals for inclusion, or clarification on policy should be directed first to the editor of Emory Report, Laura Douglas-Brown (l.douglasbrown@emory.edu). The Associate Vice President for Communications and Marketing and/or the Senior Vice President for Communications and Public Affairs will be the final arbiter of any issue related to this publication.
